Position Title: Institutional Giving Coordinator
Status: Full Time/Exempt
Reports to: Director of Development
Position Summary
The Institutional Giving Coordinator plays a vital role on the Fort Wayne Philharmonic’s Development team, advancing the organization’s fundraising goals through the strategic management of corporate, foundation, and government support. This position is responsible for the full lifecycle of institutional giving: prospect research, proposal development, timely reporting, stewardship, and benefit fulfillment.
Reporting to the Director of Development, the Institutional Giving Coordinator manages and maintains the institutional giving calendar, ensuring that all grant and sponsorship deadlines, including proposal and reporting requirements, are met without exception. The position also assists in building and sustaining strong relationships with corporate sponsors, delivering all agreed-upon benefits and helping secure renewed and increased support year over year.
Grants Management and Reporting
Maintain a master grant calendar that tracks all proposal, reporting, and stewardship deadlines for foundation, government, and corporate funding sources.
Ensure all grant reporting requirements are met with timely and accurate submissions that reflect program outcomes, financials, and impact.
Proactively work with program, education, marketing, and finance staff to gather data, outcomes, stories, and financials needed for strong reporting and compelling proposals.
Assist the Director of Development in identifying gaps in funding timelines and planning proactive approaches to fill them.
Maintain organized digital and physical records of all grant activity, correspondence, proposals, and reports.
Corporate Sponsorship and Relationship Building
Research and identify new corporate prospects aligned with Philharmonic programs and audiences; recommend tailored sponsorship opportunities to secure funding.
Write and customize compelling corporate sponsorship proposals and benefit packages for annual events, special initiatives, and community programs.
Steward relationships with corporate donors year-round, ensuring benefit delivery, brand recognition, and personalized touchpoints.
Coordinate with marketing and box office teams to fulfill sponsor recognition in print, online, at events, and in other deliverables.
Track sponsor engagement and renewal timelines; propose upgraded packages and renewed support with each cycle
Proposal Development and Internal Coordination
Lead the drafting and submission of high-quality, mission-aligned grant proposals, ensuring alignment with funder priorities and Philharmonic needs.
Coordinate proposal development timelines and internal review processes to meet deadlines.
Work closely with the Finance team to develop accurate, detailed program and project budgets to accompany grant proposals and reports.
Support development leadership in crafting case language for new initiatives and campaigns.
Maintain up-to-date organizational boilerplate content, financial documents, and program descriptions for reuse in proposals and reports.
Administrative Support and Cross-Functional Collaboration
Provide administrative support to the Director of Development including scheduling, meeting coordination, and communication with funders.
Maintain accurate records in the CRM/donor database, ensuring all institutional giving activity is properly documented.
Collaborate with colleagues in marketing, education, operations, and finance to gather content for proposals, impact stories, and benefits delivery.
Attend events and concerts to serve as a representative of the development team, support donor engagement, and steward institutional partners.
Provide exemplary internal and external customer service, reflecting the Philharmonic’s values and commitment to community partnerships.
Perform other duties as assigned in support of the development and fundraising goal
Qualifications and Requirements
Bachelor’s degree or equivalent experience required.
Minimum 3 years of writing experience with a strong preference for grant and sponsorship writing.
Experience working in a nonprofit development office, with an understanding of donor and sponsor expectations.
Strong writing, editing, and project management skills with an ability to juggle multiple deadlines.
High attention to detail, accuracy, and professionalism.
Experience with donor databases (Tessitura, Raiser’s Edge, Salesforce, or similar CRM systems).
Strong interpersonal skills and the ability to build relationships with funders, sponsors, and colleagues.
Familiarity with budget preparation and financial documents used in grant applications.
Willingness to work evenings and weekends for events and concerts as needed.
